This User Data Deletion Policy outlines how Pull Logic, Inc. (“Pull Logic,” “we,” “us,” or “our”) handles the deletion of personal data and customer information collected, processed, and stored through our software platform and services. This policy is designed to align with global data privacy regulations including, but not limited to, the General Data Protection Regulation (GDPR), California Consumer Privacy Act (CCPA), California Privacy Rights Act (CPRA), and other relevant laws and standards.

 1. Scope of This Policy – This policy applies to all customer data and personal information processed or stored by Pull Logic in the course of providing our inventory optimization and forecasting platform. It governs the procedures for:

  • User-initiated deletion requests
  • Automatic deletion after account termination or contract expiration
  • Deletion of backups and archived data
  • Handling deletion through integrated third-party services

This includes data submitted by our clients, their end users, and their authorized personnel through Pull Logic’s application interfaces, web portals, embedded widgets (such as Ethan), and integrated tools.

 2. Types of Data Eligible for Deletion

We process various categories of data that may be subject to deletion, including:

  • Personally identifiable information such as names, email addresses, phone numbers, and IP addresses.
  • Account information including user profiles, login credentials (encrypted), and usage history.
  • Business and operational data such as uploaded inventory records, forecasts, historical sales data, order histories, and supplier information.
  • Metadata related to system usage, log files, interaction records with Ethan (our AI sales assistant), and analytics.
  • Data synced or passed through third-party integrations, such as CRMs, ERPs, and data connectors.

3. Retention and Deletion Principles

Unless otherwise agreed in a written contract or Data Processing Agreement (DPA), Pull Logic retains customer data for a limited period after service termination or inactivity. We follow these general principles:

  • Personally identifiable information is retained for up to 30 days after account termination.
  • Forecasting and inventory data are retained for up to 60 days following the end of the client relationship.
  • System-generated metadata such as logs and analytics may be retained for up to 90 days for auditing and diagnostic purposes.
  • Data stored in backup archives is deleted within the standard backup retention cycle, which typically does not exceed 30 to 60 days.

 4. Requesting Data Deletion

Users, account administrators, or client representatives can initiate data deletion by:

  • Using the “Privacy” or “Data Request” section within the client portal
  • Contacting their assigned Customer Success Manager or Account Executive

Upon receiving a valid request, we will verify the identity of the requester using reasonable methods. This may include verifying user credentials, confirming request validity with the organization’s primary contact, or requesting additional verification documents.

5. Deletion Process and Timeline

Once a data deletion request is validated, we will initiate the data erasure process. The following steps are generally followed:

  • The requester is acknowledged within five business days of receipt.
  • Data deletion is completed within 30 days of verification, unless an exception applies.
  • Upon completion, a confirmation of deletion will be sent to the requester.
  • Deleted data is rendered irretrievable and is removed from all production environments.
  • Data in backup systems is flagged for removal in the next scheduled backup purge cycle and will be fully erased within 30 to 60 days.

6. Selective and Partial Deletion

Pull Logic supports selective deletion options. Clients can request removal of:

  • Specific user accounts without deleting the entire organization’s data.
  • Specific datasets such as historical forecasting records, legacy SKU entries, or outdated supplier data.
  • Logs, metadata, or usage history on a per-user or per-module basis, where feasible.

Selective deletion is subject to system constraints and technical feasibility. We will inform the client of any limitations when processing such requests.

7. Automatic Deletion After Account Termination

When a client account is terminated or a subscription expires, Pull Logic initiates a standard data deletion process:

  • After the end of the service term, a grace period of 30 days is provided to allow for data export.
  • Following this period, all account-related data is deleted from live systems.
  • Archived backups are purged during the next backup cycle, which typically completes within 30 to 60 days.
  • After deletion, the data is no longer accessible, restorable, or recoverable by Pull Logic or the client.

8. Deletion of Data from Third-Party Services

Pull Logic may use sub processors and third-party service providers (such as cloud infrastructure providers, CRMs, or analytics tools) to deliver certain functionality. We ensure that:

  • All sub processors adhere to our data deletion policies and contractual obligations.
  • Data hosted on third-party platforms is deleted in accordance with their own privacy and data retention terms.
  • Disconnected integrations no longer send or receive data once a deletion process is initiated.

A list of current sub processors is available upon request or as part of the client’s Data Processing Agreement.

9. Exceptions to Deletion

Certain data may not be eligible for immediate deletion if:

  • It must be retained to comply with legal obligations such as fraud prevention, tax reporting, or contractual enforcement.
  • It is required for a limited period for legitimate business interests, such as security audits or internal investigations.
  • It resides in archived systems that are subject to longer regulatory retention requirements.

In such cases, Pull Logic will restrict access to the data, limit processing, and ensure deletion after the relevant retention period expires.

10. Deletion of Backup Data

Pull Logic regularly backs up client data as part of its disaster recovery and business continuity protocols. Backups:

  • Are encrypted and stored in secure, access-controlled environments.
  • Are not used for live data processing unless activated during a recovery operation.
  • Are automatically purged from all backup systems within 30 to 60 days after the original data is deleted.

Deleted data will not be restored from backups, and restoration does not include information that was deleted in response to a user request.

11. Proof of Deletion

Upon request, Pull Logic can provide clients with:

  • Written confirmation of data deletion
  • Deletion logs showing timestamps and systems involved
  • Certificates or compliance documentation for audit or legal purposes (enterprise clients only)

12. Children’s Data

Pull Logic does not intentionally collect or store data from individuals under the age of 18. If such data is identified, it will be promptly deleted upon discovery or upon notification from a verified source.

13. Responsibilities

Pull Logic is responsible for securely managing the deletion of all data in compliance with this policy. Clients are responsible for:

  • Exporting any data they wish to retain prior to initiating a deletion request
  • Informing Pull Logic in writing of any specific data retention obligations they are subject to
  • Ensuring that their authorized users understand and follow deletion procedures

14. Changes to This Policy

This policy may be updated periodically to reflect changes in laws, technology, or company practices. Clients will be notified of significant updates via email or through the admin dashboard. The latest version of this policy will always be available on our website.
